The following criteria must be met to ensure payment:
1. A student will be paid where he/she has attended all the sessions for which they are required to register for EMA/ALG purposes. If the student has failed to attend, then the student will receive no EMA/ALG payment for that week, and the College will notify Capita to that effect in its weekly return. All lessons are to be attended including Tutorial and Learning Support if applicable. Please be aware holidays are not paid for.
2. The College may deem absence to be authorised. Where an absence is authorised (see Authorised Absences), the student will still be entitled to the weekly EMA/ALG payment as though he/she has attended in full (unless, of course, they have an unauthorised absence for a different session).
If there is a reason for non-payment, you will receive an email to your College email account informing you that your EMA payment is being stopped.
Reasons for non-payment may be:
Non-attendance.If you have not met the 100% attendance criteria and we have no record of an authorised absence then you will be sent a College non- payment email on the Wednesday of the following week. An absence letter will be sent to your parent/guardian recording the classes that you were marked absent from. All lessons are to be attended including Tutorial and Learning Support if applicable. Please be aware holidays are not paid for.
Sickness. The College allows two days of sickness per term. After this if you are sick and away from College for all or part of the week, no matter what the reason, authorised or otherwise, you will NOT receive your EMA/ALG for that week. For more information please see Payment when you are sick.
Lateness - if you are marked as arriving late to your lesson. Please note if you are late due to transport problems, please sign in with your Faculty Adminstrator or Pam King, if more convenient.
Absences that are considered unauthorised include:
- Holidays or arriving back late from holidays.
- Part time work, which is not part of the student’s programme of study.
- Leisure activities.
- Birthdays or similar celebrations.
- Babysitting younger siblings.
- Shopping.
- Driving lessons.

If any unauthorised absence has been recorded against you, you will receive an email to your College email account informing you that your EMA/ALG payment is being stopped. If you wish to appeal against this decision you will need to complete the 'Appeal against decision not to approve payment' form which needs to be completed within three College days from receiving the email. Once completed, you will need to return it to Pam King in D104.

Marked absent or missed a lesson?

If you have been marked absent from a lesson, but are certain that you attended, then you will need to go and see Pam King in D104 and collect an appeal form. For further information see Appealing against a non-payment.
Please note that you should have received an email from Pam King stating that you are having your payment stopped due to being marked absent.
Absence due to sickness/Payment when you are sick
If the student is absent from College (through illness), the parent or guardian must telephone the Faculty Administrator before 10am, who will then inform the relevant tutors. Where the parent or guardian has failed to do this, the absence will not be treated as authorised, and therefore the student will not receive EMA/ALG for the week in question. The only exception to the principle is where the parent or guardian can supply a strong reason why they failed to contact the college. This might be because an event has been particularly disturbing or unpleasant.
Attending doctor and dentist appointments during College hours are not permitted as authorised absence, but attending a hospital or orthodontist appointment is acceptable, if supported by an appointment card or hospital letter as evidence.
EMA/ALG is intended to cover the costs incurred through attendance in Education. The College allows two days of sickness per term. After this if you are sick and away from College for all or part of the week, no matter what the reason, authorised or otherwise, you will NOT receive your EMA/ALG for that week. If you have a long term medical condition which is supported by Hospital or Doctors letters please come and see Pam King. If you need to leave College during a working day you should report to Reception at Deanfield or Rotherfield where you can register your illness and seek advice.
The Parent/Guardian of the Student must notify the appropriate Faculty Administrator about any absence which can be foreseen in advance and the reason given for the absence is a good one. The following are examples of reasons for absence, which would be acceptable:
- A College organised educational visit or activity.
- A hospital or specialist medical appointment during college hours is acceptable (if supported by an appointment card or hospital letter), other medical appointments must be arranged outside College hours.
- Attending a Henley College Lecture.
- A religious holiday up to 3 days per academic year.
- A visit to a University either to attend an open day or for interview or a career related interview. (evidence required - official letter)
- A work experience placement which is an integral part of a course, and for which the student does not receive a wage.
- Attendance at a funeral.
- A job interview.(evidence required - official letter )
- A driving test (letter from the DVLA will be required)
- Severe disruption to a student’s mode of transport (for example where a student commutes by rail and a rail strike means there is no practical way of getting to College.
- Exams: it is the student's responsibility to let the Faculty Administrator know that they are going to miss a lesson due to an exam.
This list is not intended to be exhaustive, and clearly the College will take account of: the inherent reasonableness of any case, the number of absences taken by any one individual, repetitions of the same excuse, and whether the excuse is backed up with evidence.
The following reasons for absence would not generally be acceptable:
- Holidays or arriving back late from holidays.
- Part time work, which is not part of the student’s programme of study.
- Leisure activities.
- Birthdays or similar celebrations.
- Babysitting younger siblings.
- Shopping.

Notifying the College of your absence
Authorised absences (which can be foreseen in advance)
The Parent/Guardian of the Student must notify the appropriate Faculty Administrator about any absence which can be foreseen in advance and the reason given for the absence is a good one.
